Setup your personal work hours and days of work in Outlook so that your colleagues know when and where you are working, and so that software applications which integrate with Outlook such as MS Teams and  8x8 Work can process your calls and communications accordingly.

Using Outlook as your baseline Work Calendar will help simplify communication of your availability to others.

To change your work days and times in Outlook:

  • Launch Outlook and open your Calendar:
    • Click the File tab
    • Select Options
    • Select Calendar.

  • Under the Work hours and location section, click the Button "Work hours and location.."

  • Select (checkbox) the days of the week that you work, and clear the days that are not a part of your work week
  • For each day, choose a Start time and End time for your work on that day
  • For each day you can select a location (Office or Remote) which helps colleagues know where you are working
  • Use the Share your location setting to allow colleagues to see your current work location

Click OK to confirm and save your changes.

You can adjust your working time when needed as your standard schedule changes.

Remember to Use your Calendar to reflect your Busy times

When you are in a meeting, on break, or working in a different location (then a normal), remember to adjust your Outlook calendar.

  • If you step away to a meeting, but your were not given an invite, then create your own calendar appointment to "block" the time on your schedule.
If you mark that appointment to be shown as "Busy" then applications and colleagues shall be aware that you are unavailable at that time.
  • Use a Calendar appointment (busy) to block your work schedule as needed - lunch time, leaving the office early, on Vacation.
