Use this capability to collaborate with co-workers while editing Microsoft Office files. This feature lets multiple users work concurrently on the same document.


Pre-requisites:

  • The minimum Egnyte Desktop App for Windows is 3.14.3 and Desktop App for Mac, and 0.6 for Desktop App Core
  • Randolph provisioned equipment should already have this software installed.  Please submit a Help Desk request Egnyte is not installed.


Before You Start:

  • Ensure that you are logged onto your computer using your Microsoft Work Account (a.k.a. Randolph Email)
    You can quickly confirm this but visiting OFFICE.COM, to see if you are ready to access Microsoft Office online.


Steps to ENABLE Co-editing For Microsoft Desktop Office Applications


To ensure the co-editing functions properly on your Microsoft Office desktop applications, you must enable the feature by following the steps below.  You only need to perform this once, and for only one of the Microsoft Office products (E.g. Word, Excel, or PowerPoint) 


  1. Open a Microsoft Office Application (e.g. Word)
  2. From the File menu, Click on "Open" 
  3. In the menu, Select "Add a Place"
  4. Choose "Egnyte"
  5. Then authenticate to allow access to our Egnyte domain
    • Egnyte Domain is randolphusa.egnyte.com
    • Use your Microsoft Work Account to login and grant access to the Egnyte integration



When using Office Desktop Applications


If you launch a Microsoft Office tool from your desktop, and Open or double click on a document already stored in an Egnyte Shared folder, you will be prompted to select an option "Lock and work on your own" or "Co-edit in Microsoft xxxxx Desktop". 


It is recommended that you always use co-editing. You can check the option to always perform this action as a preference when editing.



While in a Co-Editing Session




In the upper left, Auto-Save should be ON automatically, indicating this document is in co-editing mode.

If this is off, it means you working off-line and the document will not be saved to Egnyte.


All co-editing users must make sure they save their changes
as indicated on the top progress bar for changes to be saved to Egnyte.


Also, while editing, on the upper right side of the screen, you should see other users that joined in the co-authoring session.
